Outreach status on Contacts, and a menu that fits your business

Admins can see and close out each contact's follow-up outreach right from the Contacts page, and the menu now shows the pages your business uses.

NewChangedImprovedFixed

New

  • Outreach status on each contact. If your account uses GearVox follow-up outreach, admins now see an outreach badge next to the contact's name: Outreach On, Outreach Paused, Appt Booked, Not Interested or Opt Out. In the Contacts list, a small green icon marks contacts whose outreach is running.
  • Close out outreach yourself. When outreach is on, click the badge to mark the contact:
    • Appt Booked stops outreach for all of the contact's open jobs and records the appointment as booked.
    • Not Interested pauses outreach for the contact. A new estimate for them starts outreach again.
    • Opt Out stops all future messages to the contact.

Good to know: You'll be asked to confirm each choice. You can't change it yourself afterwards, so if you picked the wrong one, contact GearVox support to undo it.

Changed

  • A menu that fits your business. GearVox now opens on the page that's most useful for your type of business, and hides pages your business doesn't use. Settings and Users are always available.
  • Outbound Campaigns is now Campaigns in the menu. It works the same way.
  • The API Keys page has been removed from the web app. If you need an API key, contact GearVox support.
  • Clicking the GearVox logo now takes you to your GearVox home page instead of the gearvox.ai website.

Improved

  • The Contacts page uses less data while it's open. Its once-a-minute refresh no longer downloads a finished conversation's transcript again, and it doesn't refresh a contact you've navigated away from on your phone.

Fixed

  • Fixed a contact's history sometimes briefly showing under a different contact if you switched contacts while the page was refreshing.

Clearer permissions on Settings and Users

Settings and Users now show only what your role lets you do, and explain why when a change isn't allowed.

ChangedImproved

Changed

  • Settings is view-only for non-admins. Teammates who aren't admins can still see your business hours, but can't edit them. A note at the top of the page explains why. The Other Settings section is shown to admins only.
  • Managing users is for admins. Only admins see Add User and the revoke, restore and delete actions on the Users page. Everyone else sees the team list without them.

Improved

  • If GearVox can't revoke or restore someone's access, the message now says why, for example when you try to revoke your own access or remove your account's last admin. Before, it only said "Please try again."

Contacts gets pages, email history and contacts without a phone number

The Contacts list now pages through large customer lists, and each contact's history includes emails.

NewImproved

New

  • Pages on the Contacts list. Large contact lists now load one page at a time. Use Previous and Next under the list, and choose 20, 50 or 100 contacts per page. The page you're on is kept in the link, so you can bookmark it or share it.
  • Emails in a contact's history. Email conversations now appear in a contact's timeline alongside calls and texts, with an email icon. The Contacts list also shows the email icon when a customer's most recent contact was an email.

Improved

  • Contacts are no longer tied to a single phone number. A customer reached only by email now has their own contact, and shows their email address where the phone number would be. If GearVox has neither, the contact shows No phone on file.
  • When a customer's details changed after a conversation, that conversation is marked with a small version label such as v2. Hover over it to see that it took place with the contact's earlier details.
  • A contact with no conversations yet shows Last contact never instead of a blank date.
